Staffchecks approached Always49 with a clear vision: to streamline the employee vetting process by developing a robust and secure online platform. Their goal was to reduce the time and effort required for background checks and document collection by creating a digital system tailored to the needs of modern recruitment practices.

The platform needed to store CVs and essential candidate information in a way that allowed repeat checks and faster decision-making, especially for industries where compliance and speed are critical. By centralising this data, Staffchecks aimed to build a searchable, reusable bank of verified information, reducing duplication and administrative burden across multiple hiring cycles.

Always49 collaborated closely with the Staffchecks team to understand their workflow, legal requirements, and desired outcomes. Through iterative design, development, and user feedback, we delivered a solution that not only met their goals but laid the groundwork for scaling their operations and improving the experience for both employers and candidates.

The Solution

At Always49, we began our partnership with Staffchecks by diving deep into their operational challenges and ambitions. Through discovery sessions and stakeholder interviews, we identified key pain points in their manual vetting process and mapped out how a digital platform could improve efficiency, accuracy, and turnaround times. A central requirement was to create a system that could securely store and manage a large volume of candidate data, while offering clients an intuitive and fast way to access verified information.

Following our research, we moved into a detailed design phase, using wireframes and user journey mapping to visualise and validate the end-to-end experience. One of the standout features requested by Staffchecks was the creation of a centralised bank of CVs and personal data. This meant employers could access a pool of pre-verified individuals, significantly reducing the time needed to process new starters and improving overall hiring efficiency. We ensured the design prioritised speed, clarity, and compliance.

In building the system, we integrated a variety of automated checks to reduce the administrative load on Staffchecks’ team. This included direct API integrations with official government bodies and third-party services to handle vital processes such as DBS (Disclosure and Barring Service) checks and Right to Work verification. By automating these previously manual steps, the platform not only saved time but also improved the accuracy and consistency of the vetting process.

Given the sensitivity of the data being handled, we applied strict encryption protocols, role-based access control, and audit trails to ensure user data was fully protected. From a technical perspective, we used PHP and MySQL to build a robust and scalable backend, ensuring the platform could grow alongside Staffchecks’ business. The system was tested rigorously, both in-house and through client pilots, to ensure reliability and usability.
